Graduate Student Travel and Conference Support

Dates and Deadlines

The Department is pleased to help Asian L&L graduate students participate in academic conferences, symposia, and workshops by providing funding for associated costs, including travel, lodging, meals, and registration fees. We will apply on your behalf for funds from the UW Graduate School and supplement them when possible using departmental funds. Please apply for funding as soon as you receive confirmation of your proposal's acceptance, and if possible at least four weeks prior to your first travel date.

How to Apply

Funds requested can be applied towards travel costs and conference registration fees. We will also accept applications for costs associated with presenting at remote conferences, such as registration fees.

In order to request these funds, please complete the AL&L Dept. Travel Funds Request Form (fillable PDF) and return it to the Academic Counselor by email (asianadv@uw.edu), along with a copy of your presentation acceptance email or other official document (e.g. conference program) that clearly shows your name as a presenter. Also, apply for a GPSS Travel Grant if you can.

If you will not be presenting at the conference or workshop, please also include the following information in a separate document:

  • Reason/purpose for attending
  • How attending will benefit your studies

After You Return

After you return from your travel, submit your receipts to the Department Assistant within 90 days of the transaction date or last travel date (conference registration fees can be submitted after the last travel date).

The Fine Print

Please note the following:

  • The Graduate School and the department have a fixed amount of money to support student funding, and once the money is gone, requests can no longer be funded.
  • The Graduate School maximum per request is $300 for domestic travel and $500 for international travel, and a limit of one award per student every other year. When necessary AL&L will try to supplement this to the extent department funds allow. Students should apply for the maximum amount needed in their budget. Regardless, requests for these funds must be channeled through the above application process.
  • Travel funds are available only for Asian L&L graduate students who have had papers officially accepted for presentation at recognized academic or scholarly meetings or for students who are actively participating in an academic workshop or symposium.
  • Students must be in good standing and enrolled on a full-time basis at the time of the desired travel (except for the summer quarter travel, in which case the enrollment requirement applies to the preceding spring quarter);
  • Priority will be given to PhD candidates, i.e., to students who have passed the PhD general examination, have thus been advanced to candidacy and are pursuing dissertation research.
  • Priority will be given to students who have not received recent travel support, whether from departmental or other sources.

Please keep in mind that in most cases the department will not be able to provide sufficient support to cover all travel costs, therefore students are expected to seek other sources of funding to supplement any departmental support received. For international travel, for example, students are encouraged to look at regional study centers for additional support.
